ABSTRACT
Business letters play a vital role in international business activities. Knowing how to write and what to write is very important in business. This paper presents the basic principles and suggestive steps for better business writing.
The basic principles of writing better business letters are polite, accurate and clear, concise and positive. Regarding the principle of “polite”, it includes four key elements as: answer promptly, use nice Nelly and protasis, using the subjunctive mood. About “accurate and clear” I support my theme by three argumentations: use concrete words, avoid different meanings and avoid sexist writing. About “concise” the article outspread the topic through following aspects: get right to the point, use small sentences and paragraphs, use simple words, eliminate unnecessary words, etc. And at last to be “positive” the following two points are important: strengthen verbs and a call to action.
The suggestive steps for effective business letter writing are given: plan carefully, have the right attitude, organize the content, free write and proofread. “plan carefully” should get through four things: identify the reader, jot down the key points, identify the desired outcome and state the objective. Having the right attitude we should focus on the reader and choose the right tone. To the step of “organize the content”, the following rules are very important: begin with compliment, put the conclusion first, state the reasons clearly, offer the action plans, leave room for better ideas and call the reader to action.
